Create and manage alerts
An alert checks a saved metric against a condition, such as Sales falling below a threshold. Test the rule before activating it.
You need: access to Alerts, a saved analysis you can use, and permission to manage the rule.
- Save a metricOne metric, without a breakdown.
- Create a draftSet a condition and threshold.
- TestCheck the value and freshness.
- ActivateStart scheduled checks.
- Follow upReview executions and create a task.
1. Prepare a suitable analysis
Ask AtroBI for one metric with no grouping, then save the analysis.
For example, “What were total Sales for September 2026?” can be suitable. “Sales by Region” is grouped and will not appear in the alert picker.
Percentage-change conditions also need an analysis with a comparison period.
2. Create a draft rule
Open Alerts and select New alert from saved analysis.
| Field | What to enter |
|---|---|
| Name | A recognisable purpose, such as “Review low monthly Sales” |
| Saved analysis | The single metric to monitor |
| Condition | Below, at or below, above, at or above, equal to, or an available percentage-change condition |
| Threshold | The value that defines the condition; check the displayed unit |
| Frequency | Hourly, daily, or weekly |
| Priority | LOW, NORMAL, HIGH, or URGENT |
| Maximum source age in hours | Optionally require the source data to be recent enough |
Select Create draft rule. This creates the draft; activation is a separate step.
Check the unit
For a percentage field, follow the unit shown next to Threshold. A value of 10 beside “(%)” means ten percent. A currency threshold uses the metric's displayed currency unit.
3. Test and activate
- Open Manage on the rule.
- Select Test alert.
- Review Current value, Threshold, Would trigger, and the freshness information.
- If the rule is correct and its test is accepted, select Activate / resume.
A stale source or permission problem needs attention before the rule can monitor reliably. A test result is a check at that moment, not a promise about future values.
4. Review and follow up
Open Execution history to see check times, status, observed values, whether the condition was breached, and model refresh information.
When Create task is available on a successful execution, use it to create a follow-up linked to that execution. Open the task to review its owner, due date, priority, and next steps.
Pause, edit, or delete
- Pause stops an active rule's scheduled monitoring.
- Edit rule changes its name, threshold, frequency, priority, or source-age limit.
- Save rule changes pauses the rule and requires a new test before activation.
- Delete removes the rule.
Saved filters and explicit date ranges remain part of the analysis. A frequency of daily means “check daily”; it does not automatically change a fixed date range into a rolling one.
