Prepare reports for AI

Ask AtroBI needs approved business definitions so it knows what it can calculate. Report viewing can work before this setup is complete.

You need: permission to manage report AI settings or semantic definitions.

Start from the report

  1. Open the report in Analytics.
  2. Open AI settings in the analyst panel.
  3. In AI setup, review the available metrics.
  4. Select the metrics Ask AtroBI should use for this report.
  5. Choose the report's Date to use.
  6. Review names and descriptions, then save.
  1. MetricWhat should AtroBI calculate?
  2. DateWhich date gives the period its meaning?
  3. NamesWhich business terms will people use?
  4. TestAsk a small question and check the evidence.

A metric is a calculation such as Sales or Profit. A semantic model is the set of data definitions that helps the application interpret these numbers consistently.

Choose the right dates

If a model has Order Date and Delivery Date, “Sales in September” can mean different things depending on the selected date. Choose the date that matches the report's business purpose.

After saving, ask a question with an explicit period and check Queried period in its evidence.

Make names understandable

Edit names, descriptions, and aliases beside the relevant metric or field. For example:

ItemExample
NameNet Sales
DescriptionSales after the returns included in the source measure
AliasSales revenue

Use definitions confirmed by the data owner. An alias changes how a term is recognised; it does not change the underlying calculation.

Report metric selections and date defaults are scoped to the report. Catalog names and aliases can be shared by reports that use the same catalog, so consider those reports when editing them.

Import and review model definitions

Use the available Power BI metadata refresh and review controls to bring model definitions into the AI catalog. Review the imported metrics and fields before relying on them.

When no suitable native measures are discovered, setup can offer explicitly named starter calculations such as row counts or sums of suitable numeric columns. A row count is not automatically “Customers”, and a numeric sum is not automatically “Revenue”.

Where offered, use the calculation picker for supported operations such as sum, average, minimum, maximum, distinct count, or table row count. If there are no suitable calculations, continue with report viewing and complete AI setup later.

Advanced controls

Expand Advanced for page context and catalog administration. Settings → Semantic Model provides broader management when you have that permission.

Only approved fields and calculations should be exposed. Enabling page context does not make every unsupported filter available to AI.

AI Instructions

Open Settings → AI Instructions for managed company instructions. The screen supports instruction sets, versions, testing, and activation.

Review and test a version against realistic questions before activating it. Instructions help guide interpretation and wording; they do not grant data access or create a missing business metric.

Verify the result

Ask one question using a selected metric, an explicit date range, and a familiar breakdown. Confirm the figure and evidence with the report owner. If viewing works but AI does not, review Microsoft model query permissions as well as AtroBI settings.
