Manage members and permissions

Open Settings at the bottom of the sidebar, then choose Users & Roles under Company administration for workspace members, role permissions, and teams. Use Workspace settings → Analytics access for analytics availability and member capabilities.

You need: permission to manage the relevant members, roles, or workspace settings.

Invite a new workspace member

  1. Open Users & Roles.
  2. Find Invite a workspace member.
  3. Enter the Invitee email.
  4. Choose the Invitation role: Business Manager, User, or Customer Admin, as appropriate.
  5. Select Create invitation link.
  6. Share the generated link with the intended person.

The link is for one registration using the invited email and has an expiry. AtroBI does not send an invitation email from this action. The invitee must register and verify their email.

Operations administrators can manage separate business-level invitations. Those responsibilities are outside an ordinary report user's workflow.

Review members, roles, and teams

The Workspace members list shows current members. Use the available controls to change roles or active status according to your responsibility.

Role permissions define what a role can do and the scope of those actions. Teams group people for shared work. Review existing grants before changing a role used by several people.

A role name describes responsibilities; effective access also depends on enabled features, member grants, report restrictions, and Power BI permissions.

Enable analytics for a member

  1. Confirm the correct workspace.
  2. Open Workspace settings → Analytics access.
  3. Enable analytics for the workspace.
  4. Enable Analytics for the active member.
  5. Review the individual capability switches.
SwitchPurpose
ReportAllow report viewing, subject to report and Microsoft access
AI AnalystAllow AI analysis, subject to approved metrics and query access
AuthoringAllow eligible Power BI editing; Microsoft editing permissions still apply
ConfigurationAllow analytics configuration within the member's other permissions
Access checks work togetherPassing one check does not replace the others.
  1. Workspace and member

Analytics is enabled for this AtroBI workspace and the active member.

  2. Feature and report

Your role, capability switches, report access, and approved metrics allow the action.

  3. Power BI and source data

Microsoft permissions and source security allow viewing, querying, or editing as needed.

Inactive members cannot be newly enabled. Administration access does not automatically mean that the administrator can view business data.

Understand Authoring

Authoring is saved per member for the workspace and applies to their authorised reports. It remains saved until explicitly changed here.

Enabling Authoring for yourself may request additional Microsoft consent. Microsoft connection lets you retry the connection if needed. Enabling it for somebody else does not connect your Microsoft account on their behalf.

A saved Authoring switch does not override Microsoft write rights or source security.

When access is removed

New requests are checked against current permissions. A member may need to refresh an open page to see updated access. Removing a grant does not erase figures that were already displayed or copied.

For unexpected access failures, start with missing options or reports.
